This Privacy Policy explains how Cheese Digital & Design Solutions - F.Z.C (Arabic: تشيز ديجيتال آند ديزاين سوليوشنز - ش.م.ح), also referred to as CHSE (“we”, “us”, or “our”), collects, uses, stores, and shares personal information in connection with PropSiteAI (the “Platform”).

PropSiteAI is a product of Cheese Digital & Design Solutions - F.Z.C, a Free Zone Company (Limited Liability) licensed by the Free Zones Authority of Ajman (licence / registration number 46808), with UAE Corporate Tax Registration Number (TRN) 105201924500001.

1. Scope

This Policy applies to personal information processed when you visit our marketing site, create a PropSiteAI account, use the Platform, contact us, or otherwise interact with CHSE in relation to PropSiteAI. It should be read together with our Terms & Conditions.

2. Your data stays separate — no mixing between customers

PropSiteAI is designed so each customer organisation has its own isolated workspace. Your account data, website content, listings, media files, enquiries, and settings belong to your organisation and are not mixed with other customers’ data.

• Other PropSiteAI customers cannot view, edit, export, or manage your data through the Platform.
• Users inside your organisation can see and manage only your organisation’s data (based on the access you grant them).
• We do not display one customer’s private admin data inside another customer’s account.
• CHSE staff may access customer data only when reasonably needed for support, security, billing, or legal compliance, under internal access controls.

In short: your data is yours to manage. Other tenants on PropSiteAI do not get access to it.

3. Information we collect

Depending on how you use PropSiteAI, we may collect:

• Identity & account data — full name, company/agency name, email, phone number, password (stored hashed), and account preferences;
• Contract & acceptance data — confirmation that you accepted the Terms and Privacy Policy, including acceptance timestamp and IP address;
• Billing data — plan selection and payment-related information processed via payment providers (we do not store full card numbers on our servers when payments are handled by a processor);
• Customer content — listings, images, text, logos, contact details of your clients/enquirers that you upload or collect through your agency website;
• Technical & usage data — IP address, browser/device type, logs, approximate location, and Platform interaction events;
• Communications — support tickets, emails, and enquiry messages you send us.

4. How we use information

We process personal information to:

• provide, operate, secure, and improve PropSiteAI;
• create and administer accounts and subscriptions;
• verify acceptance of our Terms and Privacy Policy;
• process payments and send transactional notices;
• provide customer support and respond to requests (including data download or deletion requests);
• monitor abuse, investigate incidents, and enforce our Terms;
• send product or marketing communications where permitted (you may opt out of marketing);
• comply with UAE legal, regulatory, licensing, and tax obligations (including records related to our Ajman Free Zone licence and Corporate Tax registration).

5. Legal bases / legitimate grounds

We process personal information where necessary to perform our contract with you (providing the Platform), to comply with legal obligations, and/or based on our legitimate interests in operating a secure SaaS business — balanced against your rights — and, where required, based on your consent (for example certain cookies or marketing).

6. AI features

If you use AI-assisted features, prompts and related inputs may be processed to generate suggestions. Avoid submitting unnecessary sensitive personal data. You remain responsible for reviewing AI output before publishing it on your website.

7. Sharing of information

We may share personal information with:

• infrastructure and service providers (hosting, email, analytics, security, payment processing) under appropriate agreements;
• professional advisers (legal, accounting, tax) where needed;
• regulators, free zone authorities, tax authorities, or courts when required by law or to protect rights and safety;
• a successor entity in a merger, acquisition, or asset transfer.

We do not sell personal information. We do not share your private account data with other PropSiteAI customers.

8. Cookies & analytics

We use cookies and similar technologies for essential site functions, preferences (such as theme), and analytics (including Google Analytics where enabled). You can control cookies through your browser; disabling some cookies may affect functionality.

9. International transfers

PropSiteAI may be hosted or supported using infrastructure inside or outside the UAE. Where personal information is transferred internationally, we take steps appropriate to the context to protect it in line with applicable UAE requirements and our contracts with providers.

10. Retention

We retain account and content data while your account is active and as needed to provide the Platform, resolve disputes, and meet legal, tax, and accounting obligations. Acceptance records may be retained for compliance. After account closure or an approved deletion request, we delete or anonymise data within a reasonable period unless longer retention is required by law.

11. How we protect your data

We take the security of your data seriously. PropSiteAI is operated with modern security practices intended to keep customer information safe, including:

• encrypted connections (HTTPS/TLS) for Platform access;
• hashed password storage (we do not store passwords in plain text);
• organisation-level data separation so customers only access their own workspace;
• access controls and authentication for admin areas;
• ongoing monitoring, backups, and updates to reduce security risks;
• use of reputable hosting and infrastructure providers.

No online service can guarantee absolute security, but we continuously work to protect PropSiteAI with current industry practices. Please also protect your account with a strong unique password and notify us immediately if you suspect unauthorised access.

12. Download or delete your data (email us anytime)

You can request, at any time by email, to:

• Download / receive a copy of the personal and account data we hold about you and your organisation on PropSiteAI; and/or
• Delete your account and associated data from PropSiteAI.

Send your request to hello {at} chse • ae from the email address registered on your account (or with enough details for us to verify you). We will respond within a reasonable time and may ask for identity verification before releasing or deleting data.

Some information may need to be retained where required by law (for example tax, billing, fraud prevention, or dispute records). Where full deletion is not possible, we will explain what we retain and why.

13. Your other rights & choices

Subject to applicable UAE law, you may also request to:

• access or correct personal information we hold about you;
• object to or restrict certain processing;
• withdraw consent where processing is consent-based;
• opt out of marketing emails.

14. Your responsibility for end-customer data

If visitors submit enquiries on your agency website (names, phones, emails, etc.), you are the controller of that data. You must provide your own privacy notice to those visitors and process their data lawfully. We process such data as a service provider / processor to host and operate your site, according to your instructions and our Terms, and keep it within your organisation’s workspace (not mixed with other customers).

15. Children

PropSiteAI is intended for business users. We do not knowingly collect personal information from children under 16. If you believe a child has provided data, contact us to delete it.

16. Changes

We may update this Privacy Policy from time to time. The “Last updated” date will change when we do. Material changes may also be notified by email or in-product notice. Continued use after an update means you acknowledge the revised Policy.
